Lead source tracking is how you find out which sources actually bring in jobs, not just calls. A lead source tracking sheet lists each source in a row and records leads, jobs, revenue and spend for a period, so the rates and costs can be worked out from your own counts.

This free Lead Source Tracking Sheet and Scorecard from LiveFixPro does the math for you and gives you a blank sheet to reuse next month.

It runs in your browser. Nothing you enter is uploaded or stored. Use counts and totals only, with no customer names or details.

What the scorecard asks for

  • Period, for your own reference. For example, October.

  • Up to eight sources, one per row. For example, Google Ads, referral, website form or an Unknown row. For each source:

    • Leads. How many inquiries came in, as a whole number (zero or more).

    • Jobs. How many became booked jobs, also a whole number. Jobs can't be more than leads.

    • Revenue ($), optional.

    • Spend ($), optional.

Every number is your own, and nothing is preset. The tool shows a message instead of a scorecard if a row has a decimal in leads or jobs, a negative number, more jobs than leads or a number too large to use.

What you get back

A scorecard table with, for each source and a Total row:

  • Lead-to-job rate (jobs divided by leads)

  • Revenue per job (revenue divided by jobs)

  • Cost per lead (spend divided by leads)

  • Cost per job (spend divided by jobs)

A plain-English summary names the source with the most jobs in your entries, notes a tie if two or more sources share the top count, or says no jobs were entered. Rows with no spend or revenue show a dash, and the Total row's per-job and per-lead figures use only the rows where you entered that number. These are estimates from your numbers, not a forecast.

Download the scorecard as a CSV, print it, or download the blank tracking sheet as a CSV to fill in each month. If a source name starts with a symbol such as = or +, the CSV adds an apostrophe in front so a spreadsheet reads it as plain text.

Ways to capture the source

A scorecard is only as good as the source you recorded.

  • Ask every caller and form "How did you hear about us?" Record the answer the same way each time.

  • Use a separate tracked phone number or form for each paid source if you can.

  • Log the source when the lead arrives, not weeks later.

  • Keep one list of source names so entries match. "Google," "Google Ads" and "Ads" should be one row.

  • Keep an Unknown row. A large Unknown row tells you the capture step needs work.

Reading the scorecard

Look across a few months, not one. A source with a few leads can swing a lot from one month to the next, so use the rates as a prompt for questions, not as a verdict. Check that "jobs" means the same thing every month, such as booked jobs or completed jobs.

What this tool is not

It's a tracking sheet and a calculator for your own numbers. It doesn't connect to any account, import anything or forecast results.

FAQ

What is lead source tracking?

Recording where each lead came from, then counting how many became jobs. It shows which sources bring in work and what each one costs.

How do I do lead source tracking in a spreadsheet?

List each source in rows, then record leads, booked jobs, revenue and spend for each period in columns. This tool does the math and gives you a blank sheet to repeat monthly.

What if I don't know the source of some leads?

Add a row called Unknown. A large Unknown row tells you the capture step needs work.

Are the rates a forecast?

No. They're estimates from the numbers you enter for one period. The tool uses no benchmarks and doesn't predict results.

Does the tool keep my counts?

No. It runs in your browser, and your counts and spend aren't uploaded or stored. Download the CSV before you close the page.
