Customer Support Automation for Small Businesses, with a Human Handoff

Customer support automation for small business means setting up tools to handle the routine parts of customer service, such as answering common questions, sorting incoming messages, capturing inquiries after hours and handing anything tricky to a person. LiveFixPro sets this up for U.S. small and midsize service businesses, remotely, with a human handoff and review built in.

You do not need an enterprise helpdesk or a support team to get started. You need a clear list of the questions customers ask most, a place where messages arrive, and a person who owns the answers.

What we set up

Support automation is a set of small pieces. Depending on your business, we can set up some or all of these:

  • Answers to common questions. A website chat or reply draft that answers from your approved content, such as hours, service areas, how booking works and what to prepare. Automated answers are labeled as automated.

  • Inbox and ticket routing. Messages from email, forms or chat are sorted by topic and sent to the right person.

  • After-hours inquiry capture. When no one is available, the setup collects the visitor's name, need and best way to reach them, and lets them know what happens next. This is sometimes called an AI receptionist setup.

  • Handoff to a person. When the setup is unsure, or the customer asks for a person, it passes the conversation to your team with the details already collected.

What to automate and what to leave to people

A simple rule works well: automate the repeat, low-risk questions and keep people on anything that needs judgment.

Good to automate:

  • Questions with the same answer every time (hours, service areas, how to book)

  • Collecting contact details and the reason for the inquiry

  • Routing a message to the right person

  • Drafting a standard reply for a person to approve

  • Status updates and reminders you already send by hand

Better left to people:

  • Complaints, refunds and anything emotional

  • Pricing exceptions, contracts and legal questions

  • Anything involving health, money or sensitive personal information

  • Questions the setup has not been given an approved answer for

Works with the tools you already use

We start with what you have: a shared inbox, a helpdesk tool if you use one, website chat, forms and a calendar. The goal is to add to your current setup, not to replace it. If you do not use a helpdesk tool today, we can talk through whether you need one at all. Third-party software costs are discussed before you commit.

How it works

  1. Consult. We talk through the questions your customers ask, where they ask them and who answers today.

  2. Written scope. We confirm what will be set up, what will not, and the price in writing before work starts.

  3. Build in test mode. The setup runs with a person reviewing drafts before anything reaches customers.

  4. Go live in stages. We switch on one category of questions at a time, so you can check each one.

  5. Handoff. We document how it works and who owns it, so your team can run it.

Messages to customers

If a setup sends texts, emails or review requests, the rules are set at the start. We only set up messages to contacts who have opted in. Texts need prior written consent, honor STOP and run within permitted hours. Emails include your mailing address and an unsubscribe link. Review requests go to every customer, with no filtering and no incentives. You keep the consent records.

Pricing

AI Process Automation is $3,999 one-time. We map and build one high-impact workflow, such as after-hours inquiry capture or routing for one kind of message, test it with your team and hand it off. An optional AI Managed Retainer is $897/mo for ongoing support on the agreed workflow. Exact deliverables are confirmed in writing on the consult. If you need more than one workflow, each additional workflow is scoped and quoted in writing before any work starts.

What we do not promise

Support automation is meant to help with routine messages, and we do not guarantee fewer tickets, specific response times, higher customer satisfaction, more leads or any specific result. AI can get an answer wrong, which is why we use approved content, test mode and a person to review. Someone on your team should own the setup and check it regularly.

FAQ

Do I need a helpdesk tool before I automate customer support? Not necessarily. We start with what you already use, such as a shared inbox, website chat or forms. If you do not use a helpdesk tool today, we can talk through whether you need one at all before you commit to any software.

How does the human handoff work when the automation does not know the answer? It is set up to hand the conversation to a person, with the details already collected, instead of guessing. We use approved content and test the setup before it goes live. AI can still make mistakes, so a person should review and own it.

Can an AI receptionist answer questions after hours? Yes, it can be set up to answer common questions and capture an inquiry's name, need and best contact method when no one is available. It cannot replace a person for complaints or complex issues, and it is not a promise that the software is never down.

Who reviews answers before they go live? You do. We build in test mode, where a person reviews drafted answers before anything reaches customers, and we switch on one category of questions at a time. Your team approves the content the setup uses.

Do you guarantee fewer support tickets or faster response times? No. LiveFixPro does not guarantee ticket reduction, response times, customer satisfaction, leads, revenue or any specific result. We focus on a clear written scope, careful testing and a setup your team can run.
