HVAC cost per lead is your ad spend divided by the leads it brought in, and this free calculator from LiveFixPro works that out for you, along with your cost per booked job and the close rate you would need to break even.

It's made for HVAC contractors, owners and office managers who run ads or pay for leads and want to see the numbers behind them. It works for any lead source you can count. Every number comes from you, and nothing is preset. The tool needs only business totals, with no names or personal details. It runs in your browser, and nothing you enter is uploaded or stored. Estimates only, not a forecast.

What the calculator asks for

• Ad spend for the period.

• Leads, as a whole number, from the same period.

• Close rate (%). The share of leads that become booked jobs.

• Average job value.

• Margin (%). The share of the job value left after the direct costs of the job.

What you get back

• Cost per lead

• Booked jobs (leads multiplied by your close rate)

• Cost per booked job

• Break-even close rate

• Gross margin from booked jobs at your close rate, and whether it is above, below or equal to your ad spend

The break-even close rate is the close rate at which the gross margin from booked jobs equals your ad spend. If it comes out above 100%, the tool says so: no close rate would reach that point at your numbers. When there are no leads or no booked jobs, or the job value or margin is 0, the tool shows "n/a" with a reason instead of a number.

Use Copy, Download CSV or Print to take the result with you, and Clear to start again.

How it's worked out

• Cost per lead = ad spend ÷ leads.

• Booked jobs = leads × close rate.

• Cost per booked job = ad spend ÷ booked jobs.

• Gross margin from booked jobs = booked jobs × average job value × margin.

• Break-even close rate = ad spend ÷ (leads × average job value × margin), shown as a percentage.

Where to find your numbers

Ad spend and lead counts usually come from your ad reports and your call or form logs. Close rate and average job value come from your job or invoice records. Margin is your own figure. If a field is blank or isn't a plain number, or a percentage is outside 0 to 100, the tool tells you what to fix.

Before you rely on the result

• Use one definition of a lead (a call, a form or a booking request) for both the lead count and the close rate.

• Use the same period for spend and leads.

• Remember it's plain arithmetic. It has no preset figures and doesn't compare you with anyone else.

• Treat the result as an estimate. Estimates only, not a forecast.

FAQ

How do I calculate HVAC cost per lead?

Divide your ad spend by the number of leads from the same period. This calculator does that and also shows cost per booked job and the break-even close rate from your numbers.

What is the break-even close rate?

It is the share of leads you would need to book for the gross margin from those jobs to equal your ad spend. If it is above 100%, no close rate would reach that point at your numbers.

What counts as a lead?

Whatever you decide to count, such as a call, a form or a booking request. Use the same definition for the lead count and the close rate.

What is cost per booked job?

It is your ad spend divided by the number of booked jobs, which is your leads multiplied by your close rate.

Is my information stored?

No. It runs in your browser and nothing is uploaded or stored.
